Function of Job

 

Ensuring the appropriate record-keeping of student payments and account balances is a critical function for OKWU.  The person in this position ensures that student charges are accessed, payments are posted, delinquency is addressed, and questions are resolved, all with the highest degree of accuracy, diplomacy, and efficiency.  As a working manager, the person in this job completes these duties as well as oversees the work that is delegated to other team members. Major duties revolve around accounts receivable, including but not limited to student financial advising, collecting current and past-due accounts, preparation of periodic reports and statements on accounts, and administering payment plans.  This position also requires working well with other departments within OKWU.

 

Supervision Given/Received

 

Work is performed under the general supervision of the Vice President of Business Affairs/CFO.  Supervision is exercised over the Student Accounts Specialist

  • Receives and responds to telephone and personal inquiries pertaining to account balances and activity on accounts, including counseling on payment alternatives
  • Monitors delinquent accounts and takes appropriate steps to collect payment; maintains records of attempts to collect
  • Codes, classifies, posts and consolidates information for reports and billings; checks for required forms and source documents; prepares journal entries
  • Prepares routine reports and billings and distributes them accordingly
  • Maintains manual and computer filing systems
  • Enters and coordinates the entry of data into the computer system
  • Recommends improvements in office procedures and techniques
  • Administers various student payment plans
  • Reconciles various subsidiary ledgers with the general ledger
  • Maintains records of and generates repayment schedules for institutional loans.
  • Load financial aid rosters
  • Recommends enrollment eligibility based on students’ financial status
  • Maintains files on court judgments, garnishment and bankruptcy
  • Attends GPS registration nights as needed to explain student account policies and balance issues
  • Update and review the website for cost information
  • Update and review the university catalog in the student accounts section
  • Assist OKWU Prep with partner schools and billing arrangements
  • Coordinate with Tuition Assistance and Voc Rehab programs to invoice and properly fund student accounts
  • Oversee the Memorandum of Understanding (MOU) application and updates
  • Responsible for monitoring delinquent accounts, assigning to collection agencies and reports associated with collection agencies
  • Responsible for coordinating with University Accounting Services (UAS) regarding Perkins loans, repayment, collections, reporting and assignment to the Department of Education when appropriate.
  • Provides monthly balance reports, end of term and end of year reports to the administration
  • Assist in providing documentation for the annual audit
  • Ensure the accurate and timely processing of all activities associated with the preparation of 1098T forms.
  • While work schedule is fairly standard, must adapt to varying hours including evenings, Saturdays, differing starting and ending hours, as needed.
